Last updated: 15 October 2026
This Privacy Policy explains how Softoin (“Softoin”, “we”, “us”) collects, uses, shares and protects personal data when you visit our website, contact us or work with us on a project. We are a software development company registered in India, and we handle personal data in line with the Information Technology Act, 2000, its rules, and the Digital Personal Data Protection Act, 2023.
1. Information we collect
Information you give us. When you fill in a contact or enquiry form, request an estimate, apply for a job or email us, we collect details such as your name, email address, phone number, company name, country and the information you share about your project.
Information collected automatically. When you browse our website we may collect technical data such as your IP address, browser and device type, the pages you visit, the page you came from and the time of your visit. This is collected through server logs and cookies.
Information from client projects. While building or supporting software for a client, we may have access to data held in the client’s systems. We process that data only on the client’s instructions and under the agreement we have with them.
2. How we use your information
- To reply to your enquiry and prepare proposals, estimates and quotations.
- To deliver, support and improve the services you have asked for.
- To send invoices, payment reminders and service updates.
- To keep our website secure, prevent misuse and fix technical problems.
- To understand how visitors use our website so we can improve it.
- To send occasional news about our services, only where you have agreed or where the law allows. You can opt out at any time.
- To meet our legal, tax and accounting obligations.
3. Consent and lawful use
We process personal data with your consent (for example, when you submit a form) or for legitimate uses permitted by law, such as completing a contract with you or meeting legal requirements. You can withdraw your consent at any time by writing to us; this will not affect processing that took place before you withdrew it.
4. Cookies
Cookies are small files stored on your device. We use essential cookies that make the website work (for example, remembering your choices in forms) and, where enabled, analytics cookies that tell us which pages are useful. You can block or delete cookies in your browser settings; some parts of the site may not work properly without essential cookies.
5. Sharing your information
We do not sell or rent your personal data. We share it only when needed:
- With service providers who help us run our business, such as hosting, email and communication tools, under confidentiality obligations.
- With professional advisers such as accountants and lawyers, where necessary.
- With government or law-enforcement authorities when the law requires it.
- With a buyer or successor if our business is reorganised or sold, subject to this policy.
6. Storage and international transfers
Your data is stored on secure servers that may be located in India or in other countries where our service providers operate. When data is transferred outside India we take reasonable steps to make sure it stays protected and is handled in line with Indian law.
7. How long we keep data
We keep personal data only for as long as needed for the purpose it was collected: enquiries for up to 24 months after our last contact, and project, invoice and tax records for the period required by law. After that, data is deleted or anonymised.
8. How we protect your data
We use encryption in transit, access controls, strong passwords, regular updates and backups to protect personal data. Only people who need the data for their work can access it. No system is completely secure, so we cannot guarantee absolute security, but we act promptly if a problem is detected and notify affected people where required.
9. Your rights
Subject to applicable law, you may:
- ask for a summary of the personal data we hold about you and how it is used;
- ask us to correct, complete or update inaccurate data;
- ask us to erase data we no longer need;
